Social media response protocol

Below is the response protocol for Student Affairs social media management. We encourage other units to follow this or similar models. If you have questions regarding how your unit engages users on social media, feel free to contact us at musamarketing@missouri.edu.

Level 1

Impact unknown

  • Let’s keep an eye on this and see if it gets any traction. Begin some targeted social media listening and see if anything develops. Respond after 24 hours if needed.
  • Ex: Good morning. Trying to get son set up for semester two. Can anyone please remind me how/where to sign him up for his dining plan? Thanks so much.
Level 2

Routine issue or isolated impact

  • Comments in social media have gained, or are gaining, traction. Did we make a mistake or cause this issue? If yes, apologize. Is there a campus office that can assist with this issue? If yes, refer.
  • Give time for issue to self-correct or provide correct information if needed.
  • Ex: I have question about obtaining a MO driver’s license. What ddress do students put on the license? It confuses me because whatever address they put, it is a temporary address.
Level 3

Important issue with potential for broad impact

  • Response requires involvement of additional stakeholders, which may include administrators, communication leads or subject matter experts.
  • Discuss via email with relevant parties and respond with coordinated message within 24 hours.
  • Ex: My daughters roomate moved out, she has a new roommate that just emailed her yesterday that she already moved into their room and my daughter nor us were notified as parents. Any suggestions on this BC I think my daughter should have been informed by Res Life that she had a roommate before the girl moved in?
Level 4

All hands on deck

  • Response requires involvement of additional stakeholders, which may include administrators, communication leads or subject matter experts. Discuss and respond as appropriate.
  • Ex: Active threat

Content strategy workshop — Collaborative planning for creation, delivery and governance of content.

Content audit and recommendations — Review and analysis of web content and recommendations for structure.

Web development — Creation of WordPress template web sites, content, etc.

Our process

  • You can request a project by submitting a project request form for campus units or student organizations.
  • A member of our team reviews your request and either
    • Approves it for production (1 business day); or
    • Follows up to review your request with you and fill in any missing information (2 business days).
  • Your project manager discusses your project request with the SA marcom team to arrive at a strategy and comes back to you with a recommendation (5–10 business days).
  • The SA marcom team develops your content through our iterative creative process. As part of that process, you will receive a proof of the work to review and request amends or approve (5–10 business days, longer for video).
  • Once you approve, your project moves into production (e.g., printing, delivery, digital distribution) (1–3 business days).
